Covid 19 Policy and Procedure

Covid Waiver & Release

During this unique time of the Covid 19 Pandemic and the continuous evolution of medical recommendations post-each wave, we require an additional waiver, release, and acknowledgement of responsibilities. We understand these times are challenging, however, these provisions are necessary to hold a “safe enough” container for all attendees and staff. By registering for and attending any Back to the Body™ retreat you agree to be bound by the terms and conditions of this waiver.

Pre-Retreat

Following updated government guidelines, as of July 2023, we no longer require proof of vaccination to attend our retreats and in-person events. However, we recommend staying updated on your vaccinations and boosters as a form of protection against Covid-19.

You agree that you will not attend the retreat if you have any symptoms of Covid 19 immediately prior to beginning your travel (symptoms may include fever, chills, cough, shortness of breath, difficulty breathing, fatigue, muscle or body aches, headache, new loss of taste or smell, sore throat, congestion or runny nose, nausea, diarrhea, etc. as outlined by the CDC). You also agree that you will inform us immediately of any symptoms or any exposure to someone suspected or confirmed to have Covid 19.

We recommend that if you wish to engage in additional travel or tourism that you do so after the retreat rather than before, due to the risk of contracting Covid 19 during travel.

Arrival at Retreat

You must provide a negative Covid 19 test taken within 48 hours of your arrival at the retreat, to be emailed or texted to retreat staff. We strongly recommend and prefer a PCR test when possible, with rapid "at-home" tests also accepted. We ask you to bring rapid “at-home” testing kits with you to the retreat, in case testing needs to be done on site.

By choosing to attend and arrive at the retreat, you have made your own personal risk assessment. You understand that, despite all of our best intentions and practices, there is risk of contracting Covid 19 during travel to, while attending the retreat, or while traveling home. You are accepting responsibility for this risk, as further outlined in this waiver.

During Retreat

Any procedures implemented by Back to the Body™ are not a guarantee that you will not be exposed to Covid 19 and you understand you are responsible for taking any precautions you deem necessary. You also agree to comply with any reasonable requests by other attendees to respect their own precautions. Notwithstanding the foregoing, you are responsible for complying with all laws and regulations of the locality visited during your retreat relating to protections against Covid 19.

In the event that you develop any symptoms during the retreat, you will be isolated on site and Back to the Body™ will ask that you take a rapid “at home” test, sharing the results with the staff. If the test result is positive you must immediately leave the retreat and follow protocols outlined by the CDC and local regulations. We will assist in arranging your transportation to and stay at an off-site location, at your financial responsibility. You will still be responsible for the cost of the retreat. You will also be financially responsible for your own care following your isolation off-site, though our staff may assist you in finding care if needed. We understand that this may result in you incurring significant loss as well as significant expenses associated with separate accommodation and travel, however, you understand that these losses and expenses are not the responsibility of Back to the Body™ and must be incurred by you. You agree to be fully honest with Back to the Body™ staff in regard to any symptoms you may develop and agree to comply with a request by staff to depart as determined by Back to the Body™’s sole discretion. For these reasons and more, we strongly urge you to procure travel insurance.

Cancellation

In the unfortunate event that you must cancel your trip prior to attending the retreat, cannot attend due to contracting Covid 19 or developing symptoms or exposure prior to the retreat, or must leave the retreat due to contracting Covid 19 or developing symptoms, Back to the Body™ cannot provide any refund of any amounts paid.

Per our cancellation agreement, agreed upon receipt of your non-refundable deposit: Upon receipt of your non-refundable deposit and the payment in full or the signing of a binding financial payment agreement, your spot will be reserved. At the time that your space is reserved for you the financial obligation is non-refundable. The payment agreement must be concluded  (payment in full) prior to 6 weeks before the start date of the event. In the event that you are not able to participate in the retreat that you committed to you may request a transfer to another retreat, but the transfer request must be prior to 6 weeks of the retreat originally scheduled.  Transferring to another retreat does not release you from your financial obligation. If less than the 6 weeks notice is given the retreat cannot be transferred and the money will not be refunded. There will be a $1,000 transfer fee and only the money paid can be transferred to the full cost of the new retreat (any discounts will be lost). Any payment agreement that is not fulfilled will result in losing your spot in the retreat and any payments received will not be refunded.

Travel Insurance

As outlined in this waiver, you could incur significant personal expense in the event you contract Covid 19 or develop any symptoms during the retreat. As such, you are strongly urged to obtain travel insurance that provides adequate protections against these risks.

Indemnification

You understand that irrespective of protective measures that Back to the Body™ or you may or may not take, you may be exposed to Covid 19 by another retreat attendee, a staff member, and/or an individual to whom you may be exposed during or traveling to or from the retreat. You agree to waive and release Back to the Body™, its officers, directors, staff, employees, contractors, and partners from any claims, liabilities or damages you may incur in the event you contract Covid 19 at any time during travel to, attending, or after attending the retreat. You further agree to indemnify and hold harmless Back to the Body™, its officers, directors, staff, employees, contractors, and partners from any loss, liability or damages as a result of your failure to receive a negative test for Covid 19 prior to the retreat, attending the retreat with any symptoms, and not immediately departing the retreat if you contract Covid 19.

Additional Waivers

This waiver is incorporated into and made a part of other waivers you agreed to in connection with signing up for the retreat. In the event of a conflict between these terms and the terms of any other waiver, this waiver shall govern.

In reserving a spot for a Back to the Body™ retreat or other event, i.e. upon receipt of your non-refundable deposit, you agree to these policies.
