Refund policy

This Refund & Cancellation Policy (this "Policy") applies to retreats, programs, events, workshops, sessions, payment plans, and other offerings provided by Back to the Body, Inc., doing business as Back to the Body ("Back to the Body," "BttB," "we," "us," "our").

By registering for, purchasing, enrolling in, making a deposit for, making a payment toward, or attending any Back to the Body retreat or other offering, you agree to this Policy, our Terms of Use and Terms of Sale, our Privacy Policy, and any retreat-specific, program-specific, payment-plan-specific, waiver, Consent & Intake Form, or other offering-specific terms provided to you. This Policy is intended to be read together with our Terms of Use and Terms of Sale and Privacy Policy.

1. Scope

This Policy applies to Back to the Body retreats and to any other offering where this Policy is presented, linked, referenced, or incorporated at checkout, registration, enrollment, or payment. Certain offerings may have additional or different refund, cancellation, transfer, waiver, participation, eligibility, or payment terms. If a specific offering has additional written terms, those terms will apply to that offering. All retreats require separate Consent & Intake Forms and waivers provided separately to applicable participants.

2. Key Definitions

  • "Retreat" — a Back to the Body retreat, event, workshop, program, session, or similar scheduled experience.
  • "Retreat Fee" — the total amount charged for the applicable retreat, including the deposit and remaining balance.
  • "Deposit" — the non-refundable amount required to reserve your retreat spot. Unless otherwise stated in writing, the Deposit is $2,000.
  • "Payment Plan" — an installment payment arrangement for the remaining balance of the Retreat Fee, including any payment plan processed through Partial.ly or another provider approved by Back to the Body.
  • "Transfer" — an approved application of eligible amounts already paid toward a future retreat, subject to this Policy.
  • "Transfer Fee" — the fee charged for an approved transfer. Unless otherwise stated in writing, the Transfer Fee equals the Deposit.

3. Deposits and Full Payment

A payment in full or a non-refundable Deposit of $2,000 is required to reserve a retreat spot, unless a different deposit amount is stated in writing for a specific retreat.

Your Deposit holds your retreat spot, subject to this Policy, completion of required payment arrangements, completion and acceptance of required Consent & Intake Forms and waivers, and any retreat-specific eligibility or participation requirements. All Deposits are non-refundable.

If you pay the Retreat Fee in full, your payment is non-refundable except as expressly stated in this Policy or as required by applicable law. If you pay only the Deposit at registration, the remaining balance must be paid through a monthly Payment Plan unless Back to the Body agrees otherwise in writing.

4. Payment Plans

Back to the Body offers installment payment options through Partial.ly. If you choose or are required to use a Payment Plan, you agree to the payment-plan terms presented at checkout, registration, or enrollment — including the payment amount, number of payments, billing schedule, due dates, payment authorization, and any applicable fees — as well as any terms, policies, and payment rules provided by Partial.ly.

For complete Payment Plan terms, see Section 10 of our Terms of Use and Terms of Sale. The key points are summarized below:

  • A Payment Plan is a commitment to pay the full Retreat Fee. Your payment obligation does not end merely because you stop participating, do not attend, leave early, fail to complete required forms, or change your mind.
  • Payment Plans are installment payment arrangements — not automatic renewals — unless the checkout page or offering-specific terms clearly say otherwise.
  • Failed, late, reversed, disputed, or declined payments may result in suspension or termination of your retreat spot or access to the applicable offering.
  • Payment-plan cancellations, refunds, transfers, and changes are governed by this Policy and any offering-specific terms.
  • We may attempt to collect overdue amounts, resubmit failed charges, suspend access, cancel participation, or use lawful collection methods where permitted by law.
  • We are not responsible for bank fees, card issuer fees, currency conversion charges, or other charges imposed by your financial institution or payment provider.

5. Payment Plan Setup Deadline

If you pay a Deposit instead of paying the full Retreat Fee at registration, you must set up a monthly Payment Plan within 30 days after your Deposit is paid. Your Payment Plan must be scheduled so that the full Retreat Fee is paid no later than 3 weeks (21 days) before the retreat start date.

If you do not set up a Payment Plan within 30 days after paying your Deposit, Back to the Body may stop holding your spot. Back to the Body may park your Deposit for an additional 30 days during which your Deposit may be applied to a new retreat only if space is available, Back to the Body approves the application, and you set up an approved Payment Plan.

If you do not apply the parked Deposit to a new retreat and set up an approved Payment Plan within 60 days after your original Deposit payment, your Deposit will be forfeited. Forfeited Deposits are not refundable, transferable, or creditable unless Back to the Body agrees otherwise in writing or applicable law requires otherwise.

6. Balance Due Date

All remaining balances must be paid in full no later than 3 weeks (21 days) before the retreat start date, unless Back to the Body agrees otherwise in writing. If the full Retreat Fee is not paid by the balance due date, Back to the Body may cancel your retreat spot, deny participation, suspend access to related materials, and retain all amounts paid, except where applicable law requires otherwise. If you register less than 21 days before the retreat start date, full payment may be required at registration.

7. Non-Refundable Payments

All Deposits, full payments, installment payments, Payment Plan payments, transfer fees, and other amounts paid to Back to the Body are non-refundable, except as expressly stated in this Policy, agreed by Back to the Body in writing, or required by applicable law. Back to the Body does not provide refunds for:

  • Change of mind; scheduling conflicts; travel issues; illness or injury; personal emergencies; failure to attend; late arrival; early departure; or partial attendance.
  • Failure to complete required Consent & Intake Forms or waivers; failure to meet eligibility or participation requirements; failure to make required payments; or Payment Plan default.
  • Removal from a retreat or offering under our Terms, this Policy, a waiver, a Consent & Intake Form, or offering-specific terms.
  • Dissatisfaction with subjective aspects of a retreat, program, session, workshop, or service.

Nothing in this Policy limits any non-waivable refund, cancellation, chargeback, warranty, or consumer-protection rights that apply to you under the laws of your place of residence.

8. Transfers to a Future Retreat

In limited circumstances, you may request to transfer eligible amounts paid toward a future retreat. Transfer requests must be made in writing by email to admin@backtothebody.org. To be eligible for consideration:

  • For U.S. retreats: Back to the Body must receive your written transfer request at least 90 days before the retreat start date.
  • For international retreats: Back to the Body must receive your written transfer request at least 120 days before the retreat start date.
  • Your payments must be current and you must not be in default under any Payment Plan.
  • The future retreat must have availability and Back to the Body must approve the transfer in writing.

Transfers are not guaranteed. If Back to the Body approves a transfer, the eligible amount is the amount you paid toward the original retreat minus a Transfer Fee equal to your Deposit (meaning the Deposit itself is not transferred). Any discounts, promotions, or special pricing connected with the original retreat may be lost upon transfer. If the future retreat has a higher price, you are responsible for the difference. If the future retreat has a lower price, no cash refund will be provided unless required by applicable law or agreed by Back to the Body in writing.

A transfer does not release you from your financial obligation to pay the full amount due for the applicable retreat. If your transfer request is received after the applicable deadline, the retreat cannot be transferred and no refund or credit will be provided unless Back to the Body agrees otherwise in writing or applicable law requires otherwise.

9. Cancellation by You

If you cancel your participation for any reason — including illness, injury, emergency, travel issues, or personal circumstances — Back to the Body cannot provide a refund of any amounts paid, except as expressly stated in this Policy or required by applicable law. If you are eligible for a transfer under Section 8, you may request one. If your cancellation occurs after the applicable transfer deadline, no transfer, refund, or credit will be available unless Back to the Body agrees otherwise in writing or applicable law requires otherwise.

Canceling your participation does not automatically cancel your Payment Plan or eliminate amounts already owed. You remain responsible for completing all required payments unless Back to the Body agrees otherwise in writing or applicable law requires otherwise.

10. No-Shows and Late Arrivals

If you do not attend a retreat, fail to arrive, arrive late, miss part of the retreat, or choose not to participate in any portion of the retreat, no refund, credit, transfer, or prorated adjustment will be provided. You remain responsible for the full Retreat Fee and any unpaid Payment Plan amounts.

11. Illness, Symptoms, Exposure, and Early Departure

You agree that you will not attend a retreat if you have symptoms of illness immediately before beginning travel to the retreat or before arriving. Symptoms may include fever, chills, cough, shortness of breath, difficulty breathing, muscle or body aches, sore throat, congestion, runny nose, nausea, diarrhea, or other symptoms of a contagious illness.

You agree to inform Back to the Body promptly if you have symptoms of illness or have been exposed to someone suspected or confirmed to have a highly contagious illness. By choosing to attend, you acknowledge that you have made your own personal risk assessment and understand that there is a risk of contracting illness during travel to a retreat location, while attending, or while returning home. You agree to comply with reasonable health, safety, and boundary-related requests made by Back to the Body staff, facilitators, venue personnel, or other participants.

If you develop symptoms during a retreat, Back to the Body may ask you to monitor symptoms, limit participation, isolate, seek medical attention, or leave the retreat. Back to the Body may assist in arranging transportation off-site, but any transportation, medical care, lodging, separate accommodation, meals, travel changes, or related expenses are your financial responsibility.

If you leave a retreat early for any reason — including illness, symptoms, injury, emergency, personal choice, discomfort, conflict, noncompliance, or removal — you remain responsible for the full Retreat Fee. No refund, credit, transfer, or prorated adjustment will be provided unless Back to the Body agrees otherwise in writing or applicable law requires otherwise.

12. Travel Insurance

All payments are non-refundable. Back to the Body strongly recommends travel insurance for all retreats. Travel insurance may help protect you if you need to cancel, interrupt, delay, or depart early due to emergency, illness, injury, travel disruption, weather, family emergency, or other covered reason. Coverage depends entirely on the policy you purchase and the insurance provider's terms. Back to the Body does not sell travel insurance, does not make insurance coverage decisions, and does not guarantee that any insurance provider will reimburse you.

For international retreats, you are required to obtain travel insurance that includes, to the extent available to you, coverage for cancellation, interruption, emergency medical care, and medical evacuation. You are responsible for understanding your coverage, exclusions, deadlines, claim requirements, and documentation obligations. For U.S. retreats, Back to the Body strongly urges you to obtain travel insurance if there is any possibility you may need to cancel, leave early, or incur additional expenses.

13. Consent & Intake Forms, Waivers, and Eligibility

All retreats require separate Consent & Intake Forms and waivers provided separately to applicable participants. Completion and acceptance of required Consent & Intake Forms, waivers, questionnaires, and related documents is a condition of participation. You agree to provide accurate, current, complete, and truthful information in all registration materials and Consent & Intake Forms, and to update Back to the Body promptly if any information changes before or during the retreat.

Back to the Body may deny, cancel, suspend, or terminate your participation in a retreat for the reasons described in Section 14 of our Terms of Use and Terms of Sale. Key grounds include: failure to complete required documents; inaccurate, incomplete, or misleading information; appropriateness or safety concerns; violation of applicable terms; or failure to make required payments. See Terms §14 for the complete list.

If your participation is denied, canceled, suspended, or terminated because you failed to complete required documents, provided inaccurate or incomplete information, failed to pay, defaulted on a Payment Plan, or violated applicable terms, no refund, transfer, or credit will be provided unless Back to the Body agrees otherwise in writing or applicable law requires otherwise.

If Back to the Body determines, after receiving complete and timely Consent & Intake Forms, that participation may not be appropriate for reasons not caused by your failure to provide accurate and complete information, Back to the Body will determine available options in good faith, which may include a transfer, credit, refund, or other resolution as required by law, stated in offering-specific terms, or agreed in writing.

14. Removal from a Retreat or Offering

Back to the Body may remove you from a retreat or offering if we determine, in our sole discretion, that your continued participation is unsafe, disruptive, inappropriate, inconsistent with the retreat, harmful to you or others, or not in the best interests of the participant, the group, the retreat, facilitators, staff, venue, or Back to the Body. Removal may also occur for violation of this Policy, the Terms of Use and Terms of Sale, Consent & Intake Forms, waivers, codes of conduct, payment obligations, staff instructions, venue rules, or offering-specific terms.

If you are removed from a retreat or offering, you remain responsible for the full Retreat Fee and any unpaid Payment Plan amounts. No refund, transfer, credit, or prorated adjustment will be provided unless Back to the Body agrees otherwise in writing or applicable law requires otherwise. You are responsible for all costs associated with departure, transportation, lodging, care, travel changes, meals, and related expenses following removal or early departure.

15. Cancellation, Postponement, Force Majeure, or Changes by Back to the Body

Back to the Body may cancel, postpone, relocate, reschedule, or modify a retreat or offering due to low enrollment, facilitator availability, venue issues, safety concerns, illness, weather, natural disaster, public health circumstances, government restrictions, travel disruption, or other circumstances beyond our reasonable control — including weather, natural disasters, fire, flood, earthquake, public health events, epidemic, pandemic, quarantine requirements, government orders, travel restrictions, venue closure, labor disputes, transportation disruption, civil unrest, war, terrorism, utility failure, internet or technology failure, supplier failure, or facilitator illness or emergency. Back to the Body may also make reasonable changes to retreat schedules, facilitators, activities, venues, content, structure, or other details.

If Back to the Body cancels an entire retreat before it begins for reasons other than your breach, nonpayment, failure to complete required forms, ineligibility, or violation of applicable terms, Back to the Body will offer a reasonable resolution, which may include a transfer to a future retreat, credit, rescheduled retreat, or refund of amounts paid directly to Back to the Body, as determined by Back to the Body and as required by applicable law. If such an event affects but does not cancel a retreat, Back to the Body will determine a reasonable course of action based on the circumstances.

Back to the Body is not responsible for expenses you incur outside amounts paid directly to Back to the Body, including insurance premiums, travel costs, transportation, lodging before or after a retreat, meals outside the retreat, lost wages, childcare, pet care, currency conversion charges, payment-provider fees, or other personal expenses. Back to the Body strongly recommends travel insurance to help protect against losses caused by cancellation, postponement, interruption, travel disruption, illness, injury, emergency, or other unexpected events.

16. Chargebacks and Payment Disputes

If you believe there is an error with a payment, charge, Payment Plan, refund, cancellation, or transfer, please contact us promptly at admin@backtothebody.org. Initiating a chargeback, payment reversal, or payment dispute does not cancel your registration, Payment Plan, retreat agreement, or payment obligations. Back to the Body may suspend access, cancel participation, deny future registrations, or pursue lawful collection methods for unpaid amounts, improper chargebacks, disputed payments, failed payments, or Payment Plan defaults.

17. How to Request a Cancellation or Transfer

All cancellation and transfer requests must be submitted in writing by email to:

Your request should include: your full name; the retreat or offering you registered for; the retreat start date; whether you are requesting cancellation or transfer; and any relevant details you would like us to consider. A cancellation or transfer request is not effective until received by Back to the Body. For deadline purposes, the date Back to the Body receives your written request controls. Back to the Body may request additional information before approving or denying a transfer request.

18. No Informal Modifications

No staff member, facilitator, contractor, assistant, or representative may modify this Policy unless the modification is in writing and approved by an authorized representative of Back to the Body. Any exception to this Policy must be confirmed in writing by Back to the Body.

19. Relationship to Other Agreements and Forms

This Policy is incorporated into and made part of our Terms of Use and Terms of Sale. Separate Consent & Intake Forms, waivers, retreat agreements, codes of conduct, or offering-specific terms may also apply to your retreat or offering. If there is a conflict between this Policy and a separately provided Consent & Intake Form, waiver, retreat agreement, or other offering-specific terms, the more specific terms will control for the applicable subject matter, unless otherwise required by law.

20. International, EU/EEA, and UK Consumers

If you are located outside the United States, you are responsible for understanding and complying with the laws that apply to you. Retreats, events, workshops, and similar scheduled experiences may be services related to leisure, accommodation, wellness, personal development, or experiential activities for a specific date or period of performance. As a result, ordinary distance-selling cancellation rights may be limited or excluded in certain jurisdictions. Nothing in this Policy limits any non-waivable refund, cancellation, withdrawal, chargeback, warranty, or consumer-protection rights that apply to you under the laws of your place of residence.

21. Changes to this Policy

Back to the Body may update this Policy from time to time. The updated Policy will be posted on the Website with a new effective date or last updated date. Changes will apply prospectively unless otherwise required by law or agreed in writing. For purchases or registrations already completed, the version of the Policy in effect at the time of registration will generally apply unless a later version is required by law, is more favorable to you, or is accepted by you.
